This website is run by Complete Hydraulic Solutions Limited, a company registered in England and Wales (company number 13624842), registered office 1 Sycamore Crescent, Trefechan, Merthyr Tydfil CF48 2ET. We are the "controller" of the personal information described in this notice.

What information we collect

When you contact us by phone, WhatsApp, email or our quote form, we collect the information you give us, which may include:

• your name, phone number and email address
• your location or postcode, and the address of the job
• details of your machine and the problem, and any photos you send

When you visit our website, our hosting provider automatically keeps basic technical records (such as your IP address, browser type and the pages requested) to run the website securely. We do not use analytics or advertising cookies, and we do not track you across other websites.

How we use your information, and our lawful basis

• To reply to your enquiry, give you a quote, and arrange and carry out repairs. Lawful basis: taking steps at your request before entering into a contract, and performing our contract with you.
• To keep business and accounting records. Lawful basis: legal obligation (for example, tax law).
• To keep our website secure and filter out spam. Lawful basis: our legitimate interests in running a safe, working website.

We never sell your information, and we won't send you marketing messages unless you've asked us to.

Who we share it with

• Our website host and form provider (Netlify, Inc.), which hosts this website and passes quote-form enquiries to us.
• Our email provider, which stores the emails you send us.
• WhatsApp (Meta), if you choose to message us on WhatsApp. WhatsApp's own privacy policy applies to messages sent through its service.
• Our accountant and HMRC, where we're required to by law.

These providers only use your information to provide their service to us, under contracts that require them to protect it.

Transfers outside the UK

Some of our providers, such as Netlify, are based in the United States. Where your information is transferred outside the UK, it is protected by appropriate safeguards recognised under UK data protection law, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Agreement.

How long we keep it

• Enquiries that don't lead to any work: up to 12 months, then deleted.
• Customer records and invoices: 6 years from the end of the financial year they relate to, as required for tax purposes.
• Website technical records: for the short period set by our hosting provider.

Your rights

Under UK data protection law you have the right to:

• ask for a copy of the information we hold about you
• ask us to correct information that's wrong or incomplete
• ask us to delete your information
• ask us to restrict or stop using your information, or object to how we use it
• ask for your information in a format you can take elsewhere

To use any of these rights, email sales@hydraulicswales.com. We'll respond within one month. There's normally no charge.

Complaints

If you're unhappy with how we've handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint, or call 0303 123 1113.
